Privacy Policy

The short version: your logbook belongs to you. We collect only what RotorLog needs to store and sync your flights, we show no ads, and we never sell your personal data.

Overview

RotorLog is a professional logbook for helicopter pilots, available as an app for iOS, iPadOS, and macOS and as a web app at rotorlog.com/app. It is operated by Philip van Riessen (“RotorLog”, “we”, “us”). This policy explains, in plain terms, what data we collect, where it lives, who processes it, and the choices you have.

What we collect

  • Account details: your email address, your name, and how you sign in (email and password, Sign in with Apple, or Google Sign-In).
  • Your logbook: flight records including dates, times, aircraft, routes and locations (including coordinates), roles, operation types, remarks, and instructor signature images.
  • Supporting data you create in the app: saved aircraft and locations, currency and expiry items, backups, and your preferences.
  • Purchase status, so we can verify your RotorLog Pro or RotorLog AI plan (we never see your full payment card details).
  • Basic technical data needed to run the service, such as sync status and device type.

Where your data is stored

Your account and logbook data are stored in our cloud backend, hosted on Supabase (reached at auth.rotorlog.com), and are encrypted in transit. RotorLog is offline-first: you can log flights without a connection, and your data syncs to the backend when you are back online. If you schedule automatic CSV backups or export files to the cloud, those backups are stored with your account. Our marketing site is hosted on Cloudflare.

AI features are optional

RotorLog offers two optional AI features: “Ask your logbook” chat and AI import. If you use them, the data needed to answer your question or the files you upload (logbook page photos, PDFs, or CSV/Excel files) are processed by third-party AI providers: Google Gemini for photos and PDFs, and DeepSeek for Excel and CSV text. Nothing is sent to these providers unless you actively use an AI feature, and AI results are always shown to you for review before anything is saved to your logbook. Monthly usage limits apply (3 free chat messages per month; a RotorLog AI subscription raises the limits).

Service providers

  • Supabase: database, authentication, and backups for your account and logbook.
  • Apple: App Store purchases, Sign in with Apple, push notifications, and MapKit for rendering route maps.
  • Google: Google Sign-In, and Gemini when you use AI features on photos or PDFs.
  • DeepSeek: AI parsing when you import Excel or CSV files.
  • Stripe: payment processing for purchases made through the web app.
  • Cloudflare: hosting for this website.

How we use your data

We use your data to store and sync your logbook, keep your account secure, verify your purchases, send the optional currency and certificate expiry notifications you enable, and provide support. We do not sell your personal data, and we do not show ads.

Your rights and choices

  • Access and export: you can export your logbook to PDF, Excel, or CSV at any time.
  • Deletion: you can delete your account from inside the app, which removes your data from our backend.
  • Notifications: expiry alerts are optional and can be turned off in your device settings.

Data retention

We keep your data for as long as your account is active so your logbook is available on all your devices. Records you delete are first soft-deleted so they can sync correctly across devices. When you delete your account, your data is removed from our backend.

Children

RotorLog is a professional tool for pilots and is not directed at children under 16. We do not knowingly collect personal data from anyone under 16.

Changes to this policy

We may update this policy as RotorLog evolves. When we do, we will update the date at the top of this page, and for significant changes we will let you know in the app or by email.
