Who is responsible (the controller)
The controller of your personal data is OOS, the company behind RotorLog, registered with the Netherlands Chamber of Commerce under KVK number 42109194. Because OOS is established in the Netherlands (in the European Union), it is not required to appoint an Article 27 EU representative. You can contact us about any data-protection matter at legal@rotorlog.com.
Legal bases we rely on
We only process personal data where the GDPR allows it. Depending on the activity, we rely on:
| Legal basis (GDPR Art. 6) | Where we use it |
|---|---|
| Performance of a contract | Providing your account, storing and syncing your logbook, backups, exports, and managing your subscription |
| Our legitimate interests | Securing the Service, preventing and investigating fraud and abuse, and communicating with you about the Service |
| Legal obligation | Keeping accounting and tax records for purchases, and responding to lawful requests |
| Consent | Optional AI features, the newsletter, notifications and showing your location on the map (each switchable on or off at any time) |
Where we rely on legitimate interests, we have balanced them against your rights and freedoms. Where we rely on consent, you may withdraw it at any time without affecting processing that happened before you withdrew it.
Your rights
Subject to the conditions in the law, you have the right to:
- Access the personal data we hold about you, and receive information about how we process it;
- Rectification: correct data that is inaccurate or incomplete;
- Erasure: have your data deleted (“the right to be forgotten”);
- Restriction of processing in certain circumstances;
- Data portability: receive your data in a structured, commonly used, machine-readable format, and have it transmitted where technically feasible;
- Object to processing based on our legitimate interests, and to direct marketing at any time;
- Withdraw consent for anything you consented to;
- Not be subject to a decision based solely on automated processing that produces legal or similarly significant effects, which we do not carry out.
How to exercise your rights
Many rights are built into RotorLog and are the fastest route:
- Access & portability: export your full logbook to PDF, Excel or CSV from the app at any time.
- Rectification: edit any record directly.
- Erasure: delete records, or delete your entire account, from inside the app or web app.
- Consent & objection: turn optional features and the newsletter on or off in your settings.
For anything else, email legal@rotorlog.com. We will respond within one month (extendable by two further months for complex requests, in which case we will tell you), and free of charge. We may need to verify your identity before acting on a request, to protect your account.
International transfers
Your account and logbook data are stored in the European Union. Some optional or supporting providers may process limited data outside the European Economic Area; where they do, we rely on appropriate safeguards under Chapter V of the GDPR, such as European Commission adequacy decisions or Standard Contractual Clauses. Our full list of providers and their locations is on the Sub-processors page.
UK users
If you are in the United Kingdom, the UK GDPR and the Data Protection Act 2018 apply to you in the equivalent way, and the rights described here are available to you on the same basis.
Complaints
We would like the chance to resolve any concern first, so please contact us. You also have the right to lodge a complaint with a data-protection supervisory authority. Our lead authority is the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl). You may also complain to the supervisory authority in your own EU/EEA country, or, in the United Kingdom, to the Information Commissioner's Office (ico.org.uk).
